Work Flow

Hello all. I've been approached by the local Y to think about submitting a bid

for shooting the team photo's. I'm more than ok as far as shooting the actual

files for the individual and team pics. Where I'm having problems is, in my head

anyway, is how to keep the files matched with the individual.

Let me add I'm a semi-pro now and I like it that way. The contract opened up due

to health issues at the last studio. The last round of pics they contacted a

previous studio to do the work. But, they like to keep the work local. I feel like

I'm falling into this and would like to persue it further.

I haven't actually contacted any labs yet for customer service help. I've been

looking at the Bay roes system and mvpcards.com. I like the mvpcard's product

selection, but lost after that. I do know I need to offer a variety of product

choice from the advice of the sports director.

I want to submit a bid, BUT I want to way ALL my ducks in a row. This is

potentially a 10k a year contract. I don't want to blow it in the work flow.

Any advice or comments welcome!

as far as names/faces matching up. I take a low-tech solution here...as I shoot a team, I write names on a list for the team...typically on the envelope I keep that particular team's orders--this keeps them together. ...once backed up, I rename the selected shots to match the list. As long as you're sorting by original filename, it's quick & easy. The only time I've mixed anyone up is when a team mom wanted to help, and was writing names for me...she mixed a couple up. For the few seconds it takes, if I'm the one keeping track, I know I'm straight.

Been doing this for 22 years. We use a log sheet and write every frame we shoot. I use Sport Stars lab in PA. They have a ROES setup for your orders. Good price for products, GREAT customer service and support. Lots of companies now bar code their envelopes, too expensive for me. I pay my brother $20 per hour to handle the details when I do leagues. He's worth every bit.
